MSC Girls Academy is operated by Master Soccer Coaching Limited, company number 17410677. We are the data controller responsible for the personal information described in this notice.

Information we collect

When a parent or guardian submits an enquiry, we collect their name, email address, telephone number, the player's age group and any optional message they choose to provide. We also record the date of the enquiry, its source and confirmation that the person submitting it is a parent or guardian.

Please do not include medical information, safeguarding information or other sensitive personal information in the optional message. Contact us directly if information of that nature needs to be discussed securely.

How and why we use it

• To respond to the enquiry and discuss a free assessment or suitable coaching programme.
• To arrange requested services and take steps before entering into a contract.
• To prevent spam, repeated submissions and misuse of the website.
• To keep appropriate business, safeguarding and legal records where necessary.

Our lawful bases are taking steps at your request before entering into a contract, performing a contract where you become a customer, and our legitimate interests in responding to enquiries, operating the academy and protecting the website. We do not use enquiry details for unrelated marketing without a separate lawful basis.

Children's information

The enquiry form is intended to be completed by a parent or guardian. It asks only for the player's age group and does not request the child's name. If a child contacts us directly, we may ask them to involve a parent or guardian before continuing the enquiry.

Where information is stored and shared

Enquiry information is stored securely within the website's managed database. Our website and database are provided through OpenAI's ChatGPT Sites service and its infrastructure providers, which process information on our behalf.

We do not sell personal information. We only share it with service providers where necessary to operate the website or academy, with professional advisers where required, or when the law requires us to do so. Information may be processed outside the UK; where this happens, we require our service providers to use appropriate contractual and organisational safeguards.

How long we keep it

Unsuccessful or inactive enquiries are retained for no longer than 12 months from the most recent contact and are then deleted, unless there is a legal or safeguarding reason to retain them for longer.

If you become a customer, relevant booking, payment, contractual and business records may be retained for up to six years after the relationship ends where required for legal, tax or accounting purposes. Safeguarding records may follow different retention requirements.

Website security and cookies

The website may set strictly necessary security cookies to deliver the site, protect forms and prevent malicious traffic. We do not currently use enquiry information for advertising profiling or automated decisions that produce legal or similarly significant effects.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict your personal information, object to its use, or receive a portable copy. You can exercise these rights by emailing hello@mscgirlsacademy.co.uk.
